These program-specific terms should be read together with WAFF Collective’s general Terms & Conditions.
French Holiday Program & Art in French
By registering a child for a French Holiday Program or Art in French, you agree to the following terms and conditions.
Registration
Registration is for the full program or session selected at the time of booking.
Parents and guardians are responsible for providing accurate and up-to-date information about their child, including emergency contacts, health information, allergies, additional needs and anything else that may help us support their participation safely.
If anything changes after registration, please let us know before the program begins.
Cancellations & refunds
We understand that plans sometimes change.
Cancellations made 14 days or more before the first day of the program are eligible for a refund.
Cancellations made less than 14 days before the program begins are non-refundable.
Missed days, late arrivals or early departures are also non-refundable.
If WAFF Collective needs to cancel a program, families will be offered a refund for the cancelled program.
Before & after care
Where before and after care is offered, it must be booked in advance.
Children may only remain on site outside regular program hours if before or after care has been arranged.
Please respect the advertised drop-off and collection times. If you are unexpectedly delayed, please contact us as soon as possible.
Health & wellbeing
Please tell us about anything that may affect your child’s participation, comfort or safety during the program.
This may include allergies, medical conditions, medication, sensory needs, learning differences or other support needs.
Sharing this information does not automatically prevent a child from participating. It helps us understand how best to support them.
If a child becomes unwell or is injured during the program, we will provide appropriate first aid and contact their parent, guardian or emergency contact where necessary.
Medication
If your child needs medication during the program, please discuss this with us before the program begins.
Medication may be administered following an agreed arrangement with the parent or guardian and clear instructions for its use.
Medication should be provided in its original labelled packaging.
Medical emergencies
In a medical emergency, our first priority is the child’s safety.
We will attempt to contact the child’s parent or guardian and, if they cannot be reached, the nominated emergency contact.
If urgent medical attention is required, we may contact emergency services and arrange ambulance transport or medical treatment without waiting for a parent or guardian to arrive.
Parents and guardians will be contacted as soon as possible.
Participation & safety
Our programs are active, creative and collaborative.
Children are expected to participate in a way that allows everyone in the group to feel safe and respected.
If a child is having difficulty participating safely, we will work with them and contact their parent or guardian where necessary.
Photos & media
During registration, families are asked whether they give permission for photographs or videos of their child to be used in WAFF Collective communications.
Children are never identified by name or tagged in public posts.
Public media permission is separate from the private photo folder shared with participating families after a program.
Families may give permission, decline permission, or set specific conditions for public use of photographs and video.
If you select Under some conditions, please let us know what you are comfortable with.
Program content
Themes, activities and creative projects may evolve as the program develops.
We sometimes adapt activities to the children in the group, their interests, their pace and what emerges during the week.
That flexibility is part of the program.
French language
French Holiday Program and Art in French are immersive French-language experiences rather than formal French lessons.
The program is not designed for children with no prior understanding of French.
Children may arrive with different levels of French. Participation, curiosity and willingness to engage matter more than perfect language.
Collection/Pick up
Children will only be released to a parent, guardian or authorised person known to us.
Changes to the program
Occasionally, circumstances outside our control may require us to change an activity, facilitator, timetable or another aspect of the program.
Where a significant change affects registered families, we will let them know as soon as possible.
